• Records of our communications with you, including emails, text messages, form submissions and notes from phone calls
• Payment and billing information, which is processed by our payment provider and not stored by us
• Technical information collected automatically when you visit our website, including your IP address, device and browser type, pages viewed and referring website

We do not collect sensitive information as defined in the Privacy Act unless it is directly relevant to the work and you have given consent.

How We Collect It

We collect personal information directly from you when you complete a form on our website, make a booking, call us, email us, message us on social media, or respond to one of our advertisements.

We may also collect information from a third party, for example a real estate agent, conveyancer, property manager or family member who arranges an inspection on your behalf, or from our advertising and analytics providers as described below.

Who We Share It With

We do not sell personal information. We share it only where it is necessary to do the work or run the business, including with:

• Our marketing agency, which manages our advertising and our customer relationship system on our behalf
• Our software providers, including our customer relationship management system, booking system, email provider and website host

We require our service providers to handle personal information consistently with this policy and with the Australian Privacy Principles.

Overseas Disclosure

Some of the providers we use store or process information outside Australia. This includes our customer relationship management system and our advertising and analytics providers, which store data in the United States, and our marketing agency, which operates from South Africa.

Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. By providing your information to us, you acknowledge that it may be disclosed to recipients in those countries.

Marketing and How to Opt Out

If you have consented, or where it is permitted for existing customers, we may send you marketing by email or text message. Every marketing message includes an unsubscribe option, and we will action it promptly. You can also opt out at any time by contacting us using the details below.

We handle marketing communications in accordance with the Spam Act 2003 (Cth), and we screen marketing calls against the Do Not Call Register in accordance with the Do Not Call Register Act 2006 (Cth).

Opting out of marketing does not stop communications about a job you have booked with us.

How We Store and Protect It

We store personal information in our customer relationship system, our email system and our business records, all of which are access-controlled and password-protected. We take reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification and disclosure.

No system is completely secure. If we become aware of a data breach likely to cause serious harm, we will assess it and notify affected individuals and, where applicable, the Office of the Australian Information Commissioner.

How Long We Keep It

We keep inspection reports, job records and related correspondence for as long as needed to meet our legal, insurance and professional obligations. This is generally at least seven years, and longer where a building warranty or limitation period requires it.

Where information is no longer needed and we are not required to keep it, we destroy it or de-identify it.

Accessing or Correcting Your Information

You can ask us for a copy of the personal information we hold about you, and ask us to correct anything inaccurate or out of date. Contact us using the details below.

We will respond within a reasonable period, usually within 30 days. We may need to verify your identity first. If we refuse a request, we will tell you why in writing.

Making a Complaint

If you believe we have mishandled your personal information, contact us first using the details below. Set out what happened and what you would like us to do. We will acknowledge your complaint and respond within a reasonable period, usually within 30 days.
